STEP 2 | EXPERIMENT PREPARATION
Return the quote acknowledgment page or a corresponding purchase order. Once received, you’ll be assigned an experiment number (relative to the type of experiment you choose) and receive your invitation.
7-10 days before the experiment, you will have to:
- Create an account in our SMIS User Portal (our team will provide the link to the portal)
- Submit your A-FORM and sample sheet. Please note that, for Mail-In experiments, it’s only possible to add one person to the A-FORM.
- Complete the Mail In online Safety Training (Commercial beamtime – IM, non-structural biology)
STEP 3 | SHIPMENT
Once your samples are approved by our Safety Group, you will be asked to log in to the DATA PORTAL, the ESRF's dedicated internal sample tracking system, to register your samples.
Once the sample registration is finalised on the DATA PORTAL, you will be able to download the internal sample tracking labels, necessary for the traceability of your samples once they are on site. Please note that the internal sample tracking labels do not replace the AWB (Air Waybill) that needs to be created by you and the shipment company of your choice.
Direct shipments to your Local Contact will not be accepted. For biological samples, please follow the specific guidelines provided.

STEP 4 | EXPERIMENT
On the scheduled date, one of the assigned ESRF staff members will carry out your experiment and upload, once ready, the generated data on the ESRF data portal.
STEP 5 | PAYMENT
Final invoices will be issued only once the experiment(s) are completed, with payment terms 30 days before the invoice date. Usage-based invoices will be sent at each quarter's end for our open quotation customers.
In case of need, advance payments may be arranged, but just let us know while requesting your quotation.
